Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education. Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seeks a motivated and detail-oriented Specialist of Affiliate Resources and Leadership Engagement (ARLE). This job reports to the Senior Director in the Office of the Chief Development Officer (CDO) in Development at PPFA. The ARLE team is responsible for maximizing the impact of the Office of the President, leading special fundraising initiatives, and strengthening our relationships with affiliates and promoting the success of affiliate development programs. Purpose: The ARLE Specialist will play a pivotal role in ensuring smooth and efficient operations across various departments to support the work of affiliate development teams, the Resolute Campaign, the Office of the President and the board, and the full Office of the OCDO. They will be instrumental in managing administrative duties, supporting crucial meetings and events, and maintaining effective communications across our federation. Delivery: ●Offer full administrative support for the organization of meetings, conferences, trainings, and webinars. This includes but is not limited to coordinating logistics, handling communications, preparing materials, and providing on-site support during each activity to ensure they run smoothly from start to finish. ●Actively support the Development Officer’s Council DEI Committee by participating in all committee calls, taking meticulous notes, and sending follow-up reminders regarding action items and supporting other committees as determined ●Monitor and update CDO and Development Officers Council (DOC) listservs, directories, and DOC intranet site, making timely additions and updates to ensure content is current and resolve any user issues. ●Develop and curate content for the monthly DOC newsletter, keeping the community informed of upcoming webinars, training, and federation-wide news. ●Responsible for the creation and processing of pay orders and invoices in Coupa, manage the scholarship process, and handle sponsorship invoices and payments. ●Provide comprehensive support to the Resolute team by managing calendars, scheduling all campaign-related meetings, and taking detailed notes during meetings as required. ●Support the Director of Leadership engagement in their board engagement programs, including managing timelines and reporting. ●Manage the calendar of the VP of Affiliate Resources and Leadership Engagement, including booking travel arrangements, tracking travel logistics, and managing expenses in Certify. ●Be available to provide additional administrative support to the larger CDO office when needed. Engagement: ●Engage stakeholders at all levels of the PPFA National Office in identifying deliverables, timeframes, and expectations for service delivery and explain the steps and expectations involved in these services. ●Partner with the DOC treasurer and DEI Committee members to facilitate financial processes and engage relevant stakeholders to ensure clear communication of financial statuses and needs. ●Identify, communicate, and offer solutions to the ARLE team on any operational issues, including any challenges, barriers, and obstacles in project execution. ●Engage stakeholders across all levels of the development division and DOC on identifying deliverables, timeframes, and expectations regarding service delivery. ●Make leadership teams aware of progress on projects through regular updates and action items through internal and external communications. Knowledge, Skills and Abilities (KSAs): ●A high school diploma or the equivalent with a minimum of two years of similar experience ●Proven experience in an administrative or support role, preferably in a nonprofit or similar environment. ●Strong writing and editing skills with demonstrated attention to detail ●Must have the ability to work independently while maintaining open lines of communication in a hybrid environment. ●Highly organized and motivated self-starter with excellent judgment who demonstrates a sense of ownership and willingness to take initiative. ●Strong organizational and project management skills – with the ability to prioritize and manage multiple assignments in a fast-paced setting. ●Strong communication and interpersonal skills, capable of working with diverse teams. ●Resourceful, solution and process-focused with proven problem-solving skills. ●Proficiency in standard office software and strong capabilities in managing digital content, including but not limited to Google Workspace (Gmail, Calendar, Apps), SalesForce, Canva, and Microsoft Office with intermediate PowerPoint and Excel skills. Travel: 0-10% $60,000 - $65,000 a year Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
