The ideal candidate will have had experience in facilities management , vendor management , and bolstering workplace productivity through the implementation of streamlined systems and processes. This role reports to the Associate General Counsel and will be hybrid from our New York City office with in-office attendance required twice weekly.

What you’ll do:

  • Manage day to day workplace & facilities operations for HQ from general office operations to facilities management, such as space planning, HVAC maintenance, plumbing, Fire Life Safety (FLS) vendors and pest control services.
  • Be the owner of all workplace initiatives as it relates to our Future of Work Taskforce, ensuring a smooth transition and optimization of the physical office as we move to support a hybrid model.
  • Ensure that the workplace supports the health and safety of all employees and visitors and that all activities are in accordance with local law and code. Manage regulatory reporting items such as Right-to-Know (RTK) filing, ensuring compliance with OSHA measures and regulatory reporting related to HVAC maintenance.
  • Oversee the facilities budget and seek out opportunities to reduce maintenance expenses and ensure documentation and contracts are organized and systematically reviewed.
  • Administrator for department software and technology, such as our security system.
  • Continuously survey and identify any faults or problems in office equipment or fixtures, performing troubleshooting minor maintenance to keep them working
  • Perform routine quality assurance (QA) audits of lease to understand landlord and tenant responsibilities and c ontracted and uncontracted services with a focus on financial targets
  • Own scope of work (SOW) development and request for proposals (RFP) process
  • Vendor relationship management for assigned vendors
  • Coordination of COI’s, invoices, manage department CC’s and any corresponding paperwork as needed.
  • Schedule service as needed, keeping in mind logistics around business. Manage help desk tickets and employee requests.
  • Coordinate internal and external responses to break/fix items.
  • Manage departmental calendar for lifecycle maintenance, preventative maintenance, site surveys, events, etc.
    • Peer coach team members to ensure knowledge share is a priority as well as collaboration
  • Manage department communications to the wider company and day to day responses on Slack.
  • Assist with special projects, such as researching and implementing a ticketing system, and incident management lifecycle mapping for HQ.
    • Create SOPs for employees and develop department procedures
  • Shared reception coverage with the workplace team and back-up for porters, as needed.

Who you are:

  • 5 years of facilities management experience
  • Analytical, abstract thinker with great written and verbal communication either 1:1 or company wide.
  • Proficiency in utilizing iOS Mac, GDrive, GSuite, Slack, AirTable and similar platforms.
  • Have a great eye for detail and high standards for keeping a neat and well-organized office.
  • Friendly, welcoming and confident in your leadership to lead our team members through change and evolution
  • Have an appetite and aptitude managing complexity and high volume against tight timelines
  • Never satisfied with the status quo, always thinking "how can we do this better?"
  • Team player with a "no task is too small" attitude
  • Passionate about transforming travel (but that’s a given!)

Compensation Package:

Our salary ranges are based on paying competitively for our size and industry, and are one part of our total rewards program that also includes benefits, bonus, equity and various social and professional investment opportunities at Away. Pay decisions are based on a number of factors, including scope and qualifications for the role, experience level, skillset, and balancing internal equity relative to other Away employees. We expect the majority of the candidates who are offered roles at Away to fall healthily within the range based on these factors.

  • Salary Range: $85,000 - $90,000 annually
  • This role is eligible to participate in Away’s Annual Company Performance Bonus Plan, the terms of which are determined on an annual basis at the discretion of the company
  • Equity Grant: commensurate with level determined at the discretion of the company
