WORK SCHEDULE
  • 100% FTE – 40 hours per week
  • Day Shift – UW MEDICINE ITS SERVICES CORE HOURS ARE 07:00 – 16:00 (PST), Monday-Friday

  • POSITION HIGHLIGHTS
  • Responsible for leading teams to deliver the technology governance program spanning across multiple business units, including managing resources, schedules, and approaches throughout the full project life cycle.
  • Serves as a coach and mentor to assigned PMs to ensure on-time, on-budget delivery of active projects within the assigned portfolio and compliance with PMO standards. This position also contributes to further development of these standards.
  • May be assigned to projects which will likely be associated with maturing and growing the governance maturity within ITS.
  • Works closely with user representatives, other ITS teams, operations staff, and other project team members to initiate projects, analyze business processes and data, facilitate user requirements, plan and direct configuration and functional testing, develop and maintain project plans, schedules, and other project management document, plan and direct project implementation work, and support the operational departments to improve associated systems.
  • Communicates responsibilities and expectations to team members, manages schedule, scope, and budget, identifies and manages project issues, risks, and decisions, ensures quality project deliverables and outcomes, and manages integration and consistency of all components of projects where applicable.

  • DEPARTMENT DESCRIPTION
    UW Medicine IT Services (ITS) is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), Valley Medical Center (VMC), UW Medicine Primary Care (UWMPC), UW Physicians (UWP), UW School of Medicine (SOM), and Airlift Northwest (ALNW). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.
    PRIMARY JOB RESPONSIBILITIES
  • You manage all governance intake processes and dashboards.
  • You develop roadmaps to guide committee meetings and leaders’ decision-making in project selection.
  • You lead executive level presentations, project communications, and change management.
  • You preside over governance committee briefings and meetings, communicating agendas and meeting materials in advance and following up with action items and meeting summaries.
  • You provide governance support to end users (external clients and/or colleagues) through training, demonstrations, and documentation.
  • You maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, benchmarking state-of-the-art practices, and participating in professional societies.
  • You partner with multiple teams to implement relevant governance policies, process improvement initiatives, and process automation.
  • You are responsible for full project life cycle ownership including successful project delivery with full implementation from initiation to deployment for one major or several minor initiatives simultaneously.
  • You develop with stakeholders KPIs for projects, programs, and/or portfolios.
  • You provide onsite leadership for project team by building and motivating team members to meet project goals, adhering to their responsibilities and project milestones.

  • REQUIRED QUALIFICATIONS
  • Bachelor’s degree in a healthcare-oriented profession, a technology field, a business-related field, or other discipline that demonstrates analytical or communications abilities, or related field or equivalent education and/or experience.
  • 5+ years of overall experience to include the below.
  • 5+ years of experience serving in a project leadership role with responsibility for managing progressively more complicated vendor-packaged system deployment and/or process improvement projects.
  • 3+ years of recent experience utilizing MS Project/Project Server to manage projects/programs/portfolios.
  • 2+ years working with governance in a large healthcare setting.
  • Demonstrated experience leading, motivating, and managing various project and program team sizes, including internal and external resources, while holding all teams accountable for performance.
  • Demonstrated leadership, diplomatic, and motivational skills including the ability to lead up, across, and down multiple business and technology organizations/business units.
  • Demonstrated experience effectively working with multiple, diverse stakeholders in a complex project environment within a cross-functional matrix environment.
  • Demonstrated experience managing project work and/or work of others within an established standard project lifecycle framework.
  • Strong experience presenting to executive sponsors and demonstrated communication skills, both written and oral with technical and non-technical staff, all levels of management.
  • Strong experience in successfully leading projects and programs on-time, on-schedule, and within budget close.
  • Strong experience in SDLC, Waterfall, and Agile Project Methodologies.
  • Experience negotiating vendor contracts.
  • Experience drafting and submitting budget proposals and recommending subsequent budget changes where necessary.
  • Experience maintaining relationships by engaging business leaders to establish credibility, solve problems, build consensus, and achieve objectives.
  • Experience influencing and gaining buy-in from executive sponsors, team members, stakeholders, and peers.
  • Experience researching best practices within and outside the organization to establish benchmark data and using continuous process improvement disciplines to achieve results.

  • CONDITIONS OF EMPLOYMENT
  • This is an Information Technology deadline-driven work environment.
  • The individual in this position is expected to work normal daytime hours. The work may be performed in either an office environment or by telecommuting with manager approval, during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
  • Must coordinate projects without direct supervisory authority.
  • Must work within the constraints of multiple technical environments.
  • The individual in this position must learn many organizational structures and cultures and continually foster collaboration.
  • Ability to communicate effectively in English, both verbally and in writing.
