UW Facilities (UWF) is one of the largest and most diverse administrative units on the Seattle campus supporting a large urban university. UWF manages the University’s buildings, infrastructure, and land, with more than 1,100 employees in a variety of fields. Our teams can be organized into six main groups: Finance & Administration, Asset Management, Real Estate, Campus Energy, Utilities & Operations, and Business Intelligence & Technology. UW Facilities Finance & Administration provides financial, procurement and sourcing, human resources and training, communications, and UW capital budgeting leadership to all of UW Facilities (UWF).
We have an outstanding opportunity for a Facilities Property Accountant .
The primary purpose of the Facilities Property Accountant is to assure the University leasing activity is compliant with all accounting and taxing guidelines. This position will audit accounting transactions and entries related to the leased and owned real estate portfolio prepared by third-party managers. The Facilities Property Accountant is the primary accounting contact for projects where the University of Washington is acting either as landlord or tenant. The Facilities Property Accountant is responsible for implementing procedures, maintaining controls, and preparation of accounting entries where no third-party manager is utilized. The Facilities Property Accountant will be part of a team who support UW Facilities with data, reports, and analysis that are used to advise management to make operating decisions.
The Facilities Property Accountant must work independently to meet very specific deadlines and resolve problems. Strong communication skills and a customer service focus are necessary as this role will be in contact with over 200 University department heads, external property management companies, and private tenants. The tasks require a high level of detail and good organizational skills. The Facilities Property Accountant will work through position complexities by paying attention to detail, thorough review and consultation with the resources available both internally in UW Facilities and externally.
The complexities of multiple technical systems and work streams within Finance & Administration require a business professional who can span from detailed analyses to developing big picture presentations. This individual must develop an in-depth knowledge of the complexities surrounding UWF financial business processes and management data to provide efficient and accurate results.
Primary Duties and Responsibilities
Work directly with the Accounting Manager in the financial management of the property portfolio for the UW.
Lease Accounting Compliance and Auditing (50%)
Audit the charge and collection of leasehold excise tax (LET) by third party property manager. Compile and prepare quarterly filing of LET to the Department of Revenue (DOR). Assure that the University is in compliance with all LET guidance provided by the DOR.
• Audit all lease financial data input into the Yardi property management software for accuracy and compliance with lease terms.
• Review and analyze landlord CAM reconciliations and annual operating budgets for reasonableness and lease compliance and audit of landlord operating expenses as appropriate.
• Assure that business filings of retail tenants are compliant with reported sales used to calculate rent paid to the University.
• Compile 1099 data from third party property managers and audit for IRS compliance. Prepare the annual 1099 data files based on UW Facilities activity combined with third-party data.
Property Management Accounting and Reporting (50%)
• Process billing and receipt of all rental income when the UW is a landlord. Follow up on any discrepancies with tenants. Annual rent collections exceed $25 million.
• Process payments for UW leased space as well as ancillary payables related to the leasing portfolio. Annual payments exceed $90 million.
• Monthly reconciliation of various budgets and bank accounts.
• Assist with the annual external audits by preparing reports and financial analysis of activity.
• Other duties as assigned.

Requirements include:
• Bachelor’s Degree in accounting, business administration, or closely related field plus 3 to 4 years’ experience
• Proficiency in reading and analyzing payment and accounting provisions of leases. Ability to exercise independent judgement in interpreting and ensuring compliance with the lease contract relating to payments and recharges.
• Proficient user of Microsoft Office software suite, with a strong background in Excel.
• Excellent written and oral communication skills

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired:
• Working knowledge of the UW financial accounting systems.
• Knowledge of Yardi or other Real Estate Software.
• Strong analytical skills, including pivot tables and advanced formulas.
Conditions of Employment:
